Position Summary:

The Manager, Office of the CEO provides high-level administrative support to the organization’s Chief Executive. The Manager serves as the primary point of contact for internal and external constituencies on all matters related to the Office of the CEO. The Manager also serves as a liaison to the senior leadership team, organizes and coordinates executive outreach, and oversees special projects.

The ideal candidate has outstanding organizational and time-management skills with strong proficiencies in office management, record and calendar maintenance, travel planning, drafting reports and correspondence, and experience interacting with C-suite executives. This candidate also must have the ability to exercise good judgement and be able to work under pressure to manage tasks and confidential matters with the utmost discretion.
 

Duties and Responsibilities:

  • Performs broad variety of administrative tasks for CEO including managing calendar appointments, completing expense reports, drafting correspondence, planning and executing meeting/event logistics, and preparing presentations
  • Plans, coordinates and ensures the CEO’s schedule is followed and respected
  • Researches, prioritizes, and follows up on incoming issues and organizational initiatives; determines appropriate course of action or response
  • Prioritizes conflicting needs; handles matters efficiently and proactively
  • Conducts proactive analysis of CEO's priorities and upcoming activities to ensure the Leadership Team has visibility and alignment
  • Builds and maintains relationships crucial to the success of the organization
  • Other duties, as assigned
 

Qualifications:

  • At least 10 years of experience supporting a C-level executive
  • Ability to demonstrate professionalism, maturity and discretion in handling confidential matters
  • Ability to multi-task, meet tight deadlines, and simultaneously manage multiple projects in a fast-paced work environment
  • Ability to think in innovative ways to find solutions to problems.
  • Excellent interpersonal, verbal and written communication skills; ability to clearly communicate solutions
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Ability to travel up to 15%
