Position Summary:
The Administrative Assistant of the Engagement/Association Leadership Development team will perform a variety of administrative and organizational tasks that support the team, the committees, and the programs they manage. This position will report to the Director of Engagement and Association Leadership Development.
Duties and Responsibilities:
- Coordinate logistics and support for the Association Executives Committee (AEC), its advisory boards, forums, and annually-appointed workgroups
- Handle logistics for both in-person and virtual meetings including AV, catering, supplies, handouts, and hotel rooming lists
- Order meeting supplies and materials, ensuring items are packed and prepared for shipping when necessary
- Prepare staff and committee leader schedules
- Capture and organize meeting notes; draft meeting minutes
- Manage the appointment process for the AEC, all of its advisory boards, and work groups via application creation and resume portal maintenance
- Update and maintain candidate and designee electronic files
- Provide administrative support for the Annual AE Institute
- Provide administrative support for the REALTOR Association Certified Executive (RCE) Designation Program
- Provide administrative support for committee recognition programs
- Provide administrative support for the Strategic Planning Committee
Qualifications:
- +3 years of proven experience as an Administrative Assistant or Office Administrator
- Strong organizational skills with the ability to support multiple programs
- Excellent time management skills with the ability to prioritize work and meet deadlines
- Results-oriented with a high attention to detail
- Strong customer relations and interpersonal skills with a high level of response to all inquiries
- Professional and poised demeanor when interacting with committee leaders and members at all levels of the association
- High level of proficiency with Microsoft Office—Outlook, Word, Excel, and PowerPoint
- High level of proficiency with technology to manage and support virtual and hybrid meetings
- Additional office management certification is a plus
- Ability to travel to three annual NAR conferences
