Position Summary:

Reporting into the Vice President, Leadership Resources, the Scheduler/Relationship Manager will be a dynamic and highly motivated professional who takes full end-to-end accountability for providing effective support to the 7 person volunteer leadership team (LT) on all aspects involving their schedules and travel. The position requires superb problem-solving capability backed with highest levels in of can-do attitude, attention to detail, process management, sound judgment, communication skills, and capacity to deliver. The Scheduler/Leadership Relationship Manager responsibilities will include, but not be limited to the following three areas: ensuring the effective and efficient functioning of the LT’s schedule; providing or coordinating the administrative and logistical requirements for LT meetings and interactions, including travel; supporting the LT with respect to protocol issues and requests for meetings and related appointments.

Duties and Responsibilities:

  • Maintain calendar of events including: scheduling, handling relevant emails or requests from elsewhere; liaising with high-level participants in respect of all arrangements appropriate to position the Leadership Resource and team as needed. In coordinating and scheduling appointments and meetings also monitors changes and communicates relevant information to appropriate staff inside and outside the Executive Offices as needed.
  • Workflow management. Supports the LT in managing their calendars and related on a timely basis, ensuring that important issues are captured and prepared for relevant meetings.
  • Request follow-up: Supports the LT in responding to requests from various associations related to meetings and engagements by reviewing the requests, proposing and implementing a course of action.
  • Meeting preparation. Ensures that the LT’s participation in internal and external meetings and events is at all times well prepared. Maintains as a liaison with other teams within NAR. Reviews and guides team members in the preparation of the LT’s briefing material, correspondence, talking points for a wide spectrum of occasions, with a focus on quality, relevance and timeliness.
  • Meeting and Decision follow-up. Collaborates with the VP to assist in prompt follow-ups with association/internal requests.
  • Information Management. Regularly inputs and updates information on the LT’s database ensuring that schedules are current and up to date. Assists in the development of administrative systems and procedures that improve efficiencies within the team.
  • Travel Logistics: Develops travel itineraries, books air travel, local transport, hotels; communicates all travel arrangements with LT, and provides ongoing support both during and after travel, including completion of travel and expense reports and follow-up actions.
  • Other duties, as assigned.
 

Qualifications:

  • At least 5 years of substantive experience in fast-paced operational roles, either as a scheduler or executive assistant.
  • Experience managing complex projects and logistics
  • Excellent communication skills in customer service and experience working as a part of a dynamic, fact-paced “Customers/Members First” environment
  • High attention to detail and ability to manage multiple projects/tasks simultaneously
  • High level of proficiency with Microsoft Office—Outlook, Excel, Word and PowerPoint
  • Ability to travel up to 50%
