Description

Position Summary:

Manage end-to-end event detailing and logistics for the National Association of REALTORS® (NAR) REALTOR® business events and meetings to ensure seamless collaboration across internal teams and external partners to deliver high-impact member experiences that align with NAR strategic goals. The operations include managing the association’s governance meetings schedule, meeting specification, space assignments, vendor management, budgets, invoice reconciliation and onsite execution.

Duties & Responsibilities:

Meeting Operations & Logistics 

  • Help oversee strategy and meetings in alignment with event objectives
  • Detailing events from start to finish primarily in hotels
  • Assist with rooming lists as needed
  • Formulate BEO’s and Resumes
  • Support the assigning of meeting space for operational consistency
  • Input and manage meeting specification details in resume template
  • Manage and distribution of the Standard Meeting Schedule
  • Manage staff office coordination
  • Create and manage budgets
  • Manage and create budgets for meeting logistics and vendor services
  • Provide and manage onsite execution of events
  • Conduct follow up with client to ensure feedback and constant enhancement for member experience
  • Financial Management with P&L ownership
  • Comfortable with Forecasting Event Expenses and maintaining budget

Vendor & Contract Management 

Support RFP processes and vendor relationship management for a variety of vendors

  • Manage vendors ie: photography, off site catering, DMC, AV, transportation
  • Manage pre-con & post-con meetings
  • Manage diagram logistics

Digital & Content Coordination 

  • Collect, verify, and organize detailed event content for mobile app and website  

Travel 

  • Site visits as needed
  • On-Site Execution
  • Willingness to travel, approximately 25%-30% of the time for event execution and site visits.

Other Duties

  • This position may be modified at any time to meet the changing needs of the association.

Skills and Qualifications:

  • 5 years of experience in event planning and operations, including meeting management, tradeshows, vendor management, food & beverage, and AV
  • Proven ability to manage vendor relationships, contract negotiations, and RFP processes within an association environment
  • Strong project management and organizational skills with the ability to handle multiple priorities and deadlines
  • Excellent written and verbal communication skills; ability to present to senior stakeholders and manage diverse relationships
  • Proficiency with meeting logistics software, diagram tools (e.g., Social Tables), event technology platforms, and data analysis
  • Collaborative, detail-oriented approach with experience coordinating cross-functional teams and external partners
  • Ability to work effectively in complex environments, demonstrate adaptability, intellectual curiosity, and a growth mindset
  • Technical proficiency in Excel, Word, and PowerPoint
  • Self-starter with the ability to work independently while contributing to team objectives

Preferred Qualifications:

  • Bachelor's degree in related field
  • Previous experience in membership organizations or professional associations
Compensation: $95,000- $115,000 depending on office location

NAR provides comprehensive benefits including health/dental/vision insurance.
NAR is on a hybrid schedule and in the office 3 days a week.
