Position Summary:

The Administrative Assistant/Program Coordinator of the Engagement & Association Leadership Development team will perform a variety of administrative and organizational tasks that support the team, committees, and programs they manage. This position will report to the Director of Engagement and Association Leadership Development.

Duties and Responsibilities:

  • Coordinate logistics and support for the Association Executives Committee (AEC) and its advisory boards, forums, and annually-appointed work groups, including preparation for both in-person and virtual meetings.
  • Program manage the appointment process for the AEC, its advisory boards, work groups.
  • Support programming for newly appointed Association Executives.
  • Order meeting supplies and materials, ensuring items are packed and prepared for shipping when necessary.
  • Capture and organize meeting notes; draft meeting minutes.
  • Provide logistical support to all engagement functions for the AE Institute.
  • Prepare staff and committee leader schedules.
  • Provide administrative support for the REALTOR® Association Certified Executive (RCE) Designation Program.
  • Provide administrative support for AEC recognition programs.
  • Provide administrative support for the Strategic Planning Committee.

Qualifications:

  • +2 years of proven experience as an Administrative Assistant, Office Administrator, or Program Coordinator
  • Strong organizational skills with the ability to support multiple programs
  • Excellent time management skills with the ability to prioritize work and meet deadlines
  • Results-oriented with a high attention to detail
  • Strong customer relations and interpersonal skills with a high level of response to all inquiries
  • Professional and poised demeanor when interacting with committee leaders and members at all levels of the association
  • High level of proficiency with Microsoft Office—Outlook, Word, Excel, and PowerPoint
  • High level of proficiency with technology to manage and support virtual and hybrid meetings
  • Non-Profit/Association experience highly preferred
  • Additional office management certification is a plus
  • Ability to travel to three annual NAR conferences
